مقدمة
تولى قسم الإدارة والتسجيل والامتحانات مسؤولية إدارة العمليات الأكاديمية التي تتوافق مع سياسات الخدمات الأكاديمية و خدمات الدعم الأكاديمي لمؤسسات التعليم العالي ووزارة التربية والتعليم. وتشمل هذه العمليات، التخطيط وتنفيذ العمليات الأكاديمية، والتسجيل، والامتحانات اللازمة لتقدم الطلاب الأكاديمي وكذلك مساعدة أعضاء الهيئة التدريسية في تخطيط عملياتهم. كما تهدف وظائف قسم القبول والتسجيل إلى تمكين العمليات الأكاديمية والتنسيق مع خدمات الدعم الأكاديمي لتيسير بيئة تعليمية مناسبة في الكلية. ويتحمل القسم أيضًا مسؤولية الحفاظ على سجلات الطلاب لمراقبة تقدمهم وتيسير التوجيهات المنتظمة لتقدمهم الأكاديمي. أيضًا، يقع على عاتق القسم مسؤولية الحفاظ على الانضباط الأكاديمي والسلوكي العام للطلاب وفقًا للسياسات المتبعة. ويتحمل قسم القبول والتسجيل مسؤولية وضع التقويم العام الذي يوجه أنشطة كلية الأفق الجامعية.
الأهداف
1. تيسير وتخطيط عمليات الخدمات الأكاديمية وخدمات الدعم الأكاديمي وفقًا لسياسة وزارة التربية والتعليم، بما في ذلك قسم التعلم المستمر.
2. ضمان جو تعليمي متكافئ.
3. تسجيل الطلاب والحفاظ على سجلاتهم بأمان وسرية.
4. التجهيز لإجراء الامتحانات باستحقاق وإعلان النتائج في الوقت المناسب.
5. توفير المعلومات الأكاديمية والطلابية المناسبة لمختلف الأقسام وصناع القرار.
الخدمات
يتولى قسم التسجيل والقبول مسؤولية جميع إجراءات القبول، وتوجيه الطلاب وأولياء أمورهم والرد على استفساراتهم، وتوزيع كتيبات دليل القبول، والتأكد من أن المتقدمين قد استوفوا متطلبات القبول، كما يتولى مهمة استقبال الطلبات عبر الإنترنت، وتزويد الطلاب بالمعلومات المطلوبة حول القبول، والإعلان عن قبول الطلاب الجدد، وتحديث وأرشفة وثائقهم إلكترونيًا، وتطبيق سياسة القبول لجميع برامج كلية الأفق الجامعية التي تتوافق مع قرارات وزارة التربية والتعليم.
يقدم القسم الخدمات التالية للطلاب:
1. فحص طلبات تسجيل الطلاب والتحقق منها.
2. إصدار مخطط التخرج للطلاب لنقل الساعات الدراسية.
3. إصدار تأكيد تحويل الساعات.
4. إصدار مجموعة القبول واستكمال الوثائق والإجراءات الخاصة بالقبول.
5. توجيه الطلاب الجدد لاستخدام المرافق والبوابة.
6. نشر دليل الطالب على الإنترنت.
7. عرض الحضور وعلامات التقييم والنتائج الامتحانية والملف الأكاديمي عبر البوابة.
8. الحفاظ على سجلات الطلاب وسجلات التقدم.
9. الحفاظ على سجلات الوضع الأكاديمي للطلاب.
10. الإعلان عن المتفوقين وقائمة التقدير.
11. تنظيم حفل التخرج.
1- بطاقات الهوية الشخصية
يتم إصدار بطاقة الهوية الشخصية للطلاب في كلية الأفق الجامعية تبعًا لحالة قبولهم. فالطلاب المؤقتون، تكون صلاحية البطاقة لمدة فصل دراسي واحد، وبالنسبة للطلاب الدائمين، تكون البطاقة صالحة حتى نهاية تسجيلهم. يجب على الطلاب حمل بطاقات هويتهم دائمًا في أثناء تواجدهم في حرم كلية الأفق الجامعية. يتم تفقد بطاقات الهوية عشوائيًا.
2- تقديم وثائق القبول والتسجيل
فور الموافقة على التسجيل يتم إصدار وثيقة القبول وإيصال التسجيل. ويتوجب على الطلاب تسديد رسوم التسجيل كما هي موضحةٌ في إيصال التسجيل.
ملاحظة: يقع على عاتق الطلاب مراجعة قسم التسجيل في حال ورود أي خطأ في الإيصال. ويجب على الطاب مراجعة القسم في فترة لا تزيد عن الشهر.
3- الوثائق (العربية والإنجليزية)
تتضمن هذه الوثائق: رسالة التوصية، وشهادات الاستحقاق، ونسخ من السجل الأكاديمي، وشهادة الدرجات، ونسخة مزدوجة من الشهادة/السجل الأكاديمي، وشهادة التدريب، وإشعار تكرار البرامج، ورسالة القبول الشرطي، ورسالة عدم الممانعة، وكشف حساب للكفلاء، ورسالة المنح الدراسية، ورسالة (DAC)، ورسالة التكريم، ورسالة التفوق، رسالة التقدير، ورسالة العمداء.
4- تفاصيل القاعة
في اليوم الأول من الدوام تتوفر كافة التفاصيل والمعلومات الخاصة بالقاعات إضافةً إلى قوائم الطلاب معروضةً على لوحة الإعلانات.
5- برنامج المحاضرات
يتوفر برنامج المحاضرات مع أرقام القاعات في البوابة الرقمية (LMS) كما يتم عرض المعلومات نفسها في لوحة الإعلانات. كما يتم الإعلان عن مواعيد الامتحانات خلال أول أسبوعين من بداية الدوام وذلك في الموقع الإلكتروني لكلية الأفق الجامعية والبوابة الإلكترونية والتطبيق الرقمي. ولا يتم تقديم أي من هذه المعلومات عبر الاتصال الهاتفي بينما يحصل الطلاب على دليل "كيف استخدم البوابة الإلكترونية" خلال الأسبوع الأول من الدوام.
6- معرف دخول البوابة الإلكترونية (LMS)
يتم إصدار معرف دخول شخصي ورمز مرور خاص لكل طلب للولوج إلى البوابة الإلكترونية حيث يمكن للطلاب الوصول إلى قوائم الحضور والواجبات ونتائجهم إلكترونيًا. كما يمكن للطلاب الوصول إلى معلومات تخص ملفهم الأكاديمي والمتوجيه الأكاديمي والفعاليات في كلية الأفق الجامعية.
7- الخزائن
يتسلم كل الطلاب مفاتيح خاصة لخزائنهم الشخصية في كلية الأفق الجامعية من قسم التسجيل والقبول. ويجب على الطلاب الخريجين أو المنتقلين أو المنسحبين تسليم مفاتيحهم إلى الشخص المعني قبل إنهاء التسجيل.
8- قسم المفقودات
يتولى قسم التسجيل والقبول مهام المفقودات وكل الأغراض الضائعة تبقى في عهدة القسم حتى تسليمها لأصحابها. كما يشجع القسم الطلبة على الإسراع بالإبلاغ عن أغراضهم المفقودة فور فقدانها.
9- خدمة البريد
كل البريد المعنون باسم الطلاب يصل إلى قسم القبول والتسجيل. لذلك ينبغي على كل الطلاب تفقد بريدهم الشخصي يوميًا.
10- مواقف الكلية
يجب على الطلاب الذين يستخدمون سياراتهم الشخصية الحصول على الملصق الخاص بهم من قسم التسجيل والقبول حيث ينبغي عليهم الوقوف بسياراتهم في المواقف المخصصة لهم دون اعتراض طريق السيارات الأخرى. كما ويُطالب الطلاب بالقيادة الحذرة والأمنة في حرم الكلية.
يمكن للطلاب الراغبين بالاستفادة من النقل الخاص بالكلية التسجيل لدى قسم القبول والتسجيل.
11- خدمة الرسائل النصية
يقدم قسم القبول والتسجيل خدمة الرسائل النصية لإبلاغ الطلاب بأي طارئ.
12- خدمة الاتصال اللاسلكي بالانترنت (Wi-Fi)
يتم تفعيل خدمة الاتصال اللاسلكي للطلاب ليتمكنوا من الاتصال بشبكة الانترنت في أثناء تواجدهم بالحرم المكي.
13- الخدمات الإلكترونية
يمكن للطلاب الاستفادة من أي خدمة إلكترونيًا.
14- مكتب المساعدة
يمكن للطلاب المستجدين سؤال موظف المساعدة عن أي استفسار يخص الحرم الجامعي ومرافقه.
15- مخطط التخرج
يحصل كل طالب على مخطط التخرج فور التسجيل إذ يساعدهم على تنظيم دراستهم وفقًا له.
16- الإيصال المبدأي.
الإيصال المبدأي هو إيصال يتم منحه للطلاب في وقت القبول، ويتم الاحتفاظ بنسخة منه في ملف الطالب. ويتضمن التفاصيل التالية:
1. رسوم الطلب
2. رسوم الدفعة الأولى
3. رسوم نقل الساعات (إن كانت موجودة)
4. رسوم امتحان القبول (إن كانت موجودة)
5. كتاب TOEFL/IELTS (إن كانت موجودة)
17- الإيصال
فور استيفاء الطالب القبول معايير القبول، يتم إصدار فاتورة لرسوم الدراسة، وتذكر طريقة الدفع على أساس شهري أو فصلي. ويتم الاحتفاظ بنسخة من هذا الإيصال في ملف الطالب.

يمكن للطلاب استخدام البوابة الإلكترونية للحصول على معلومات تخص:
1- الحضور

Functions
STUDENT REGISTRATION
Administration, registration & examination department is the backbone of the university. Its main functions are:
REGISTRATION DEPARTMENT
Student Registration department register students for the academic program and courses. Department handles two categories of students;
- New Students : The registration department registers the students with all the necessary documents as per the admission requirements and registration checklist. It audits the file for the fulfillment of documents and if a candidate does not fulfill the basic entry requirement as per the registration checklist the admission will be rejected as per the SUC Admissions policy. Department will issue admission kit online to all enrolled students.
- Continuing Students: Continuing Students will be registered as per their Graduation plan in case of meeting progression requirements.
STUDENT LMS PORTAL MANAGEMENT
Registration department will issue Username and Password for LMS portal to new students. Department is responsible for updating Student Invoices, graduation plan and enrolled subject details on portal. All the content of student portal is managed by Registration Department.
STUDENT RECORD
The registration department is also responsible for creation, maintenance, and disposal of documents and information pertaining to the students.
The documents being maintained in SUC will normally fall in three categories viz:
• Administrative records
• Academic records
• Financial records
As per policy of the SUC each of the above maintained separately and department ensures complete privacy of these documents.
STUDENT ORIENTATION
The administration department is responsible for orientation program for the MBA and BBA/BSIT students. The orientation program is to facilitate the new students to understand the policy procedure of SUC and settle down comfortably into the new environment. For continuing students the orientation program is focusing on how to attain good standing in academics. For the final semester the orientation is focusing on graduation requirements and planning of their future career’s.
SCHEDULE & CALENDAR MANAGEMENT
Administration department is responsible for complete student management at SUC. After the student is registered into the program the student is tracked for his/her regularity, requisitions, academic standing, and progression so as to communicate the status of the students with the department's faculty, staff and student to help them to progress successfully.
Academic Calendar & Academic Check List :
Administration department preparing academic calendar before start of the academic year. This calendar incorporates all the academic, semester, examinations, events, reviews, submission deadlines, vacations and inter-semester breaks. It acts as a guideline for all the departments, faculty, staff and students to plan out their activities and execute as per the calendar.
The administration department is managing and preparing the class schedule, faculty schedules and list of the courses offered during the semester. Class schedule contains the details such as class room, faculty member name, batch and the course name. The faculty schedule contains the detail of the no. of courses to be taught by each faculty member during the semester. It contains the details such as degree program, course name, credit hours, days and total sessions.
The Administration department also prepares the Academic & Academic advisor /mentor checklist to monitor the progress of Academic and Academic Advisory/mentor activities as per the schedule. It contains the details of activities, the time schedules and the person responsibilities.
EXAMINATION MANAGEMENT
Examination Management:
The Examination Department will make arrangements for the conduct of Final Term examinations. Department will prepare list of Invigilators and administrators and communicate all duty allocation to relevant departments and staff members. Department is responsible for Hall ticket preparation and distribution to students.
The department is responsible for examination paper formatting and complete quality check process. It is the responsibility of the department to complete all mitigation and Re-sit examination formalities.
Result Publication:
The examination department is responsible for compiling and publishing the results. Department will call for Result board meeting and get approvals to publish the results. All student appeals regarding results are processed by the examination department.
MANAGING STUDENT DISCIPLINE
Administration department is responsible to manage student's discipline at SUC.
Any violation of the code of conduct as specified in the student handbook is liable for punishment. Some of the specific violations which is handled by Administration department are :
Any misbehavior or misconduct, which may distort the image of the SUC.
Misconduct in classroom, computer lab, or library.
• Any insult to faculty or staff members.
• Any damage to SUC property.
• Any misconduct during exams.
• Moving around as couples.
• Dress code
• Fighting
• Theft.
In order to make fair decisions on any misconduct/ misbehavior or violation of a student, as per SUC Policy a disciplinary committee called Disciplinary Action Committee (DAC) will be formed. The administration department will present the case to the committee at the time of meeting /hearing.

- The number of credit hours as specified in the core, major and concentration
- Achievement of CGPA not less than 2.00 in the following:

- In Major / Concentration Courses
- Students must attain a minimum of “C” grade in every Capstone course
- Students are required to fill the graduation application along with fee as applicable.

B. BSCS Graduation Requirement
Bachelor of Science in Computer Science degree is awarded to a student upon fulfilling the following requirements:

Those enrolled for a Part time Undergraduate program must have completed the program within a maximum duration of 7.5 years and attempted not more than 180 credits

C. MBA Graduation Requirement
A student will be awarded the Masters of Business Administration degree upon fulfilling the following requirements:
- Students enrolled for a Full time Graduate Program must have completed the program within a maximum duration of 27 months and attempted not more than 54 credits. Those enrolled for a Part time Graduate program must have completed the program within a maximum duration of 42 months and attempted not more than 54 credits
- The successful completion of 39 credit hours
- Achievement of CGPA not less than 3.00 in the following:
- Overall 39 credits earned
- Capstone course [CGPA of 3 on a scale of 4]
- Dissertation / Thesis [CGPA of 3 on a scale of 4]

E. GRADUATION BOARD
The Graduation Board consists of Vice Chancellor, DIRQAOA, Dean of respective Schools, Registrar and concerned faculty. The Board confirms the graduation award to the students who have successfully met the graduation requirements. Upon the approval of the Board, the students will be awarded certificate of graduation and are also placed in the list of graduation honors and the Dean’s List. The Graduation Board also confirms eligible students for final Toppers and Graduate Honors as per the Procedure for Toppers / Awards.
